Depending on the specific situation, Site 4 biz processes personal data on one or more grounds.

7.1. Consent

Consent may be used for:

  • marketing emails;
  • non-essential analytical cookies;
  • advertising cookies;
  • publication of individual articles;
  • other actions for which the law requires consent.

You may withdraw your consent at any time. Withdrawal does not affect the lawfulness of processing carried out prior to the withdrawal.

7.2. Preparation, Execution, and Performance of a Legal Transaction

This reason is used when processing is required for:

  • responses to a service request;
  • preparing a proposal;
  • placing an order;
  • execution of a contract;
  • performance of work;
  • payment;
  • warranties;
  • refund;
  • communications regarding the order.

7.3. Compliance with a Legal Obligation

Certain data is stored and processed for the following purposes:

  • accounting;
  • tax accounting;
  • financial monitoring, if applicable;
  • responses to legitimate requests from government agencies;
  • compliance with other mandatory legal requirements.

7.4. Legitimate Interests

To the extent permitted by law, data may be processed for the following purposes:

Before applying this ground, the nature of the data, the individual’s reasonable expectations, and the potential impact on the individual’s rights are taken into account.

8. Marketing Messages

8.1. Creating an account, ordering a service, using SEO analysis, or submitting a contact form does not in itself constitute automatic consent to receive promotional messages.

8.2. Consent to receive marketing communications may be provided separately:

  • via an optional checkbox;
  • via the subscription form;
  • in correspondence;
  • when registering for the event;
  • another method that allows a person’s expression of will to be recorded.

8.3. Marketing messages may be sent via:

  • email;
  • SMS;
  • Viber;
  • Telegram;
  • WhatsApp;
  • other approved channels.

8.4. Every electronic marketing message, where technically possible, includes a simple way to opt out of future messages.

8.5. You can opt out:

  • via the link in the email;
  • a reply to a message;
  • through the subscription settings;
  • by email to info@site4.biz.

8.6. After an opt-out, we may retain minimal information—such as an address, phone number, or other identifier—in an opt-out list. This is necessary to ensure that we do not send messages again in violation of the opt-out request.

8.7. Opting out of marketing messages does not stop you from receiving:

  • Accounts;
  • order notifications;
  • payment information;
  • safety notices;
  • letters regarding the performance of the contract;
  • other service messages.

9. Cookies

Site 4 biz may use its own and third-party cookies.

9.1. Essential cookies

They are needed for:

  • website operations;
  • safety;
  • shopping cart;
  • placing an order;
  • authorization;
  • session persistence;
  • spam protection;
  • saving cookie preferences;
  • load balancing.

Essential cookies cannot be disabled via the cookie panel, as certain website features will not work without them.

9.2. Functional cookies

They can memorize:

  • language;
  • region;
  • these forms;
  • display settings;
  • your name and email address for future comments;
  • other convenient user settings.

9.3. Analytics cookies

They help us understand:

  • how many people visit the website;
  • which pages they view;
  • where they come from;
  • how the functions are used;
  • where errors occur.

Services such as Google Analytics or other tools enabled on the website can be used for analytics.

9.4. Advertising cookies

With the user’s consent, they may be used for:

  • conversion tracking;
  • remarketing;
  • creating advertising audiences;
  • evaluation of advertising campaigns;
  • displaying relevant ads.

Google Ads, Meta Ads, or other currently active advertising platforms can be used for this purpose.

9.5. Third-party embedded content

The following may be posted on the pages:

  • YouTube video;
  • Google Maps;
  • forms of external services;
  • messaging app widgets;
  • social media buttons;
  • other embedded content.

These services may set their own cookies and collect technical data about the user in accordance with their policies.

9.6. Cookie Management

During their first visit, users may be asked to:

  • accept all cookies;
  • reject non-essential cookies;
  • configure individual categories.

You can change or withdraw your consent for non-essential cookies through the cookie settings panel.

Users can also delete or block cookies in their browser settings. This may affect the functionality of the shopping cart, account, forms, or other features.

10. External Services and Data Recipients

We may transfer or provide access to the minimum necessary amount of data to the following categories of recipients:

  • hosting providers;
  • domain registrars;
  • cloud infrastructure providers;
  • email services;
  • electronic document management systems;
  • banks and payment services;

  • customer management systems;
  • backup services;
  • services that protect against spam and cyberattacks;

  • Site 4 biz employees, contractors, and subcontractors;
  • accountants, lawyers, and professional consultants;
  • document delivery services, if used;
  • to government agencies upon a lawful request;
  • to other persons with the user’s consent or on another legal basis.

Access is granted only to the extent necessary to perform the relevant function.

Recipients acting on our behalf must use the data only for the agreed-upon purpose and implement appropriate safeguards.

11. Messaging Apps and Social Media Platforms

When a user independently navigates to Telegram, Viber, WhatsApp, Facebook, Instagram, LinkedIn, or another external service, the respective platform processes the user’s data independently in accordance with its own policies.

Site 4 biz receives the data that users provide in messages or that the platform displays as part of their profile.

We do not recommend sending the following via messaging apps:

  • passwords;
  • complete payment information;
  • secret keys;
  • backup codes;
  • documents containing excess personal data,

unless a secure method of transmission has been agreed upon for this purpose.

12. Data We Process on Behalf of the Client

During development, SEO, technical support, or integration, the Contractor may have access to:

  • requests from the Client’s customers;
  • CRM;
  • customer databases;
  • online store orders;
  • website forms;
  • lists of subscribers;
  • analysts;
  • employees’ personal data;
  • other data owned by the Customer.

In that case:

  • The Client remains the Data Controller;
  • Site 4 biz acts as the Administrator;
  • Data is processed solely to carry out the Customer’s documented instructions;
  • Site 4 biz does not use such data for its own independent purposes;
  • The client is responsible for ensuring that the collection and transfer of such data are lawful;
  • The terms of processing may be further specified in a contract, a Specification, or a separate addendum;
  • Upon termination of the collaboration, access rights are restored, suspended, or revoked in accordance with the agreement.

13. Transfer of Data Outside Ukraine

Some providers of cloud, analytics, advertising, payment, or communications services may have servers or companies located outside Ukraine.

In such cases, personal data may be processed, including:

  • in European Union countries;
  • in the European Economic Area;
  • in the United States of America;
  • in other countries where the supplier operates.

The transfer shall be carried out only if there is a legal basis for it, to the extent necessary, and subject to the available contractual, organizational, and technical safeguards.

When using an external service, the user may also enter into a direct legal relationship with the service provider.

14. Shelf Life

We do not store personal data indefinitely simply because you visited the site or registered.

Standard storage periods:

Application without entering into a contract

Generally, up to 24 months after the last meaningful communication.

Customer and Project Data

For the duration of the contract and, as a rule, for up to 3 years after its completion, unless a longer period is necessary to fulfill legal obligations or protect rights.

Accounting, tax, and payment documents

During the period specified by law.

Account Information

While the account is active, and after it is closed—for the period necessary to complete orders, fulfill legal obligations, and protect rights.

Free SEO Analysis Data

As a rule, up to 12 months after the report is generated, unless the user has requested that the data be deleted earlier and there is no other legal basis for retaining it.

Marketing Data

Until consent is withdrawn or notifications are opted out of.

Minimal information regarding the opt-out may be retained for a longer period to comply with this opt-out.

Technical Journals and Safety Data Sheets

Generally, up to 12 months, unless a longer period is necessary to investigate the incident.

Backups

It typically takes no more than 90 days to complete a normal overwrite or deletion cycle.

Cookie

For the duration specified in the settings of the respective cookie; however, non-essential cookies generally should not be stored for longer than 24 months without renewing the relevant legal basis.

Once the retention period has expired, the data is deleted, destroyed, or anonymized.

15. Protection of Personal Data

Site 4 biz implements reasonable organizational and technical measures, including:

  • HTTPS connection;
  • access rights management;
  • separation of administrative roles;
  • complex passwords;
  • two-factor authentication where available;
  • backup;
  • regular software updates;
  • protection against malicious requests;
  • antivirus and antispam tools;
  • event logging;
  • restrictions on contractors’ access;
  • contractual confidentiality obligations;
  • removing unnecessary access rights after the collaboration ends;
  • data reduction;
  • the use of licensed or legally distributed software.

No method of data transmission or storage can guarantee absolute security. If an incident is detected, we take steps to contain it, assess its impact, and comply with applicable reporting requirements.

16. User Rights

Depending on the circumstances and applicable law, the user has the right to:

  • know the sources from which their data is collected;
  • know the owner’s location;
  • to obtain information about the purpose of the processing;
  • access your personal data;
  • request the correction of inaccurate or outdated data;
  • object to the processing;
  • to demand that the unlawful processing be stopped;
  • request the deletion of data when there is no longer a lawful basis for storing it;
  • withdraw consent;
  • file a complaint;
  • file a lawsuit;
  • to request protection from an automated decision that has significant legal consequences for him or her, when such a right applies;
  • request that the processing or transfer of data be restricted if the GDPR applies to the situation in question.

To exercise this right, please send an email to info@site4.biz.

The letter should include the following:

  • Full name;
  • the contact information used on the website;
  • the essence of the requirement;
  • enough information to search for data.

To protect against unauthorized access, we may ask you to verify your identity or the representative’s authority.

A response will be provided within a reasonable time in accordance with applicable law.

Some requirements may not be fully met if the data must be retained for:

  • performance of the contract;
  • accounting or tax reporting;
  • performance of a legal duty;
  • establishing, enforcing, or defending legal claims;
  • information security;
  • protecting the rights of others.

17. Deleting an Account

A user may submit a request to close their account and delete the associated data.

Closing an account:

  • does not automatically cancel orders that have already been fulfilled;
  • does not waive the obligation to make payment;
  • does not mean that accounting documents are automatically deleted;
  • does not cease to store information required by law;
  • does not deprive Site 4 biz of the right to retain evidence of the performance of the contract or to protect its rights.

Data that no longer has a legitimate purpose for retention will be deleted or anonymized.

18. Automated Processing

Automated SEO analysis, website analytics, and advertising systems can automatically:

  • prepare a technical report;
  • classify errors;
  • calculate indicators;
  • determine the source of the transition;
  • include a browser or device in a statistical or advertising audience.

Site 4 biz does not make decisions based solely on automated processing that, in and of themselves, produce legal effects for the user or otherwise significantly affect the user.

An automated report does not guarantee commercial results and, if necessary, should be evaluated by a specialist in the context of the specific business.

19. Children’s Data

Site 4 biz’s services are primarily aimed at businesses, entrepreneurs, and adult users.

We deliberately do not collect children’s personal data without a proper legal basis and the involvement of a legal guardian.

When it comes to light that a child has shared data without proper authorization, we take steps to delete it unless there is another legitimate reason to retain it.

20. External Links

This website may contain links to:

  • social media;
  • messaging apps;
  • payment services;
  • partner resources;
  • catalogs;
  • reviews on external platforms;
  • video services;
  • other websites.

Site 4 biz does not determine the rules for data processing on third-party resources.

Before using a third-party service, we recommend that you review its Privacy Policy.

21. Publication of case studies and testimonials

Following the public launch of the Site 4 biz project, it may use publicly available information:

  • company name;
  • website address;
  • a general description of the work performed;
  • images from publicly accessible pages;
  • A review posted by the Customer.

Non-public metrics, financial data, access rights, internal documents, and confidential information are not disclosed without a specific legal basis.

When a contract or written agreement prohibits publication, that provision takes precedence.

22. Policy Changes

Site 4 biz may periodically update this Policy due to:

  • changes in legislation;
  • the launch of new features;
  • by connecting new services;
  • changes in processing methods;
  • improving safety measures.

The current version is published on this page, along with the date it was updated.

The new version takes effect upon publication, unless another date is specifically stated therein.

When changes significantly affect a user’s rights or require new consent, we may provide additional notice in an accessible manner.

23. Applicable Law

Personal data is processed in accordance with Ukrainian law, including legislation on the protection of personal data, e-commerce, advertising, accounting, and tax reporting.

When the European Union’s General Data Protection Regulation (GDPR) applies to a specific processing activity, its relevant requirements also apply.

In the event of a conflict between this Policy and a mandatory provision of law, the relevant provision of law shall apply.

24. Related Documents

The terms and conditions for ordering and providing services are set forth in the Public Offer.

Information about payment methods, documents, and refunds is available on the Payment, Documents, and Refunds page.

The terms of a specific order may also be set forth in an Invoice, Specification, or separate contract.
